Key Grant Conditions

Once you have completed your fundraising please sign both copies of the contract and return one copy to Sarah Philp, Acting Head of Grants, together with a copy of the vendor’s invoice. Please retain the duplicate contract for your own records. Please send a copy of the receipted invoice for our records in due course.

The money will be reserved for a period of three months from the date of this letter. Please let the Grants Office know as soon as possible if you do not expect to be able to complete the purchase within that time.

Press

You must liaise with the Art Fund press team in advance over any press releases and all publicity relating to this acquisition (condition 14).

Labels and reproductions

The Art Fund’s name and logo must be prominently acknowledged  in full on the accompanying gallery label and on any reproductions.

  • This includes ALL reproductions of the work, including merchandise and catalogues and online with a hyperlink to the Art Fund’s home page.
  • This also applies whenever the work is lent to another museum or exhibition.
  • Please use a credit line such as ‘purchased/acquired/bought with the assistance of the Art Fund’.
  • When we have met the total purchase price of a work, please state that the object has been ‘presented by the Art Fund’. (condition 8a)

Membership Literature

The Art Fund’s most up-to-date membership literature must be prominently displayed and available in the museum’s main foyer. Please notify Kerstin Glasow, Head of Museum Marketing, if you run out of these. (condition 9)

Free entry

We require you to offer Art Fund members free entry to your permanent collection and free or discounted entry to temporary exhibitions and to display these concessions clearly at ticket sales points. (condition 10)

Events

If your grant offer exceeds £50,000, you must allow the Art Fund the opportunity to organise an event on the museum’s premises. the Art Fund will meet the additional costs arising from such an event but must not be charged a hire fee. (condition 13)

Images

We require you to supply us with a high-resolution digital image of the work. Please send any outstanding photographic requirements to Debbie McDonnell, Documentation Manager within 30 days of receiving the offer letter. (condition 15)

When arranging photography, please ensure that the object is photographed in its entirety against a neutral background including a colour bar and a grey scale, and that the resolution is of sufficient quality to be reproduced in a high quality, fine art publication (minimum 18MB but preferably 25MB file size).
